Rental Checklist for Quail Creek Homes  

1.       Home Preparation

a.       Arrange Landscaping Maintenance.

b.      File Registration Form with Pima County Assessor.

c.       Find a reliable cleaning service.

d.      Find a reliable handyman or maintenance person.

e.      Make sure all maintenance projects are completed prior to rental.

f.        Create an inventory of items in your rental.

g.       Research and purchase an insurance policy for rental homes.

h.      Create a maintenance list.

i.         Create an Owner’s Lockout closet.

j.        If a golf cart is included in rental obtain separate insurance for the cart.

6.       Create a rental agreement that  includes:

a.       Security Deposit Refunds.

b.      Total Payment Due.

c.       Instructions for submitting payment.

d.      Cancellation Policy.

e.      Pet Policy.

f.        Smoking Policy and Penalties.

g.       Rental Restrictions.

h.      Maximum Occupancy.

i.         Minimum stays.

j.        Sample Agreements - Note these are sample agreements that must be edited to fit the terms you have negotiated. Suggest you use the Simple Agreement and then amend it with any additional provisions needed from the Long Agreement. By downloading the agreements you accept responsibility for all provisions contained in any lease you may negotiate.

7.       Set your pricing structure.

8.       Set up an accounting procedure to track income and expenses.
This includes tracking mileage.

9.       Develop a payment schedule.

10.   Payment acceptance:

a.       Do not accept, or if received, do not cash any payment without a signed agreement.

b.      Make copy of checks prior to depositing.

11.   Create a deposit refund letter.

a.       How will you handle inspection of the house at departure.

16.   Create an emergency contact list.

17.   Determine how renter will obtain keys, garage door opener, and gate pass at check-in.

18.   Renters will require a Renter card for access to facilities.
Fill out the Property Rental Form. Your Renter can pick up the Renter Card(s) at the Madera Club House.

Renter(s) cannot use your Homeowner(s) I.D. Cards - Homeowner(s) I.D. Cards must be turned in to the POA at the Madera Clubhouse. Renter(s) will not be issued Renters Cards if the Homeowners(s) I.D. Cards are not on file.
